School Business Manager – St. John the Beloved Parish (F/T) – Wilmington, DE

Under the direction of the Parish Business Manager and in consultation with the Principal, the School Business Manager is responsible for performing a variety of bookkeeping and accounting duties for the school, including ensuring that school financial records are updated timely and accurately. The School Business Manager will work directly with the Parish Business Manager to communicate the status of budgeted expenditures, budget requests, and expenditure approvals according to policy. The School Business Manager will also work with confidential information and must respect privacy of staff, school families and others.

The schedule for this full-time, non-exempt, benefits-eligible position is Monday through Friday, 7:30 am – 3:30 pm (with one half hour for lunch).

Essential Functions:

  • Distribute invoices and or check requests to the appropriate area for approval.
  • Enter approved invoices into the parish accounting system.
  • Prepares upcoming check run to vendors, employees and the Diocese, timely.
  • Maintain appropriate files for invoices and check requests.
  • Work with Parish vendors to resolve issues.
  • Prepares tuition statements, enters student tuitions in Tuition Management System; create Links for upcoming School & Home & School events and fees for student and parent payments.
  • Track incoming and departing students in the system and make adjustments to their accounts when necessary.
  • Reconciling and posting of school deposits.
  • Responsible for acknowledging, receipting and banking all donations and gifts received by the school.
  • Process payroll for the school staff.
  • Prepare payroll information entry for the parish accounting system. Maintain personnel files for all employees, to include W4, I9 etc. Ensure all records are kept confidential.
  • Verify eligibility and provide enrollment directions and information on the health and dental benefits, 403b plan, group life insurance and other benefits.
  • Prepare month-end financial reports for pastor and finance council.
  • Enter deposits into the Parish accounting system.
  • Work with Parish Business Manager, school Principal, Parish finance council and Pastor to develop a budget.
  • Prepare any workers’ compensation claims and oversee FMLA requests.
  • Prepare teacher and administrator contracts, as per forms and scales provided by the Diocese.
  • Work with school Principal and staff on financial matters.
  • Coordinate fundraising requests with Pastor and finance council.
  • Work with fundraising coordinators to ensure compliance to Parish policy.
  • Issue to the Diocese the required reports on a timely basis.
  • Know the elements of safety and the associated risks to the school.

Minimum Qualifications:

  • Associate’s degree in business, accounting or related field with at least 5 years’ experience in booking/accounting.
  • Working knowledge of computer software such as QuickBooks, Microsoft Office (Excel) and ability to learn other programs such as ParishSoft Accounting.
  • Knowledge of payroll processing.
  • Knowledge of school operations helpful but not required.
  • Demonstrated ability to handle confidential, time-sensitive and critical matters using good judgment, tact, respect and discretion. Willingness to support the mission of the Catholic Church.

The pay range for this position is $25.00 per hour – $28.00 per hour, commensurate with experience.
